The Associate Director, Major Gifts & Planned Giving reports to the Director, Major Gifts & Individual Giving and is responsible for leading the Major Gifts and Planned Giving administration and events. This position also works with the Individual Giving team to identify, cultivate, and solicit annual donations at the $20,000 level and above and planned gifts at all levels. The Associate Director manages a portfolio of Major Gift, Patron, and Planned Giving donors and prospects, and oversees the Young Patrons Circle (YPC) and Serenade Society (planned giving) programs and events. In addition, this position provides critical support to all areas of Individual Giving to help secure donations to support New York City Ballet’s annual operations, capital projects, special programs, and endowment.


Creating and implementation of the major and planned gift strategies that supports organizational goals.
Works with the Director, Major Gifts & Individual Giving to:

  • Develop comprehensive plans and prepare materials that lead to securing new, renewed, and increased Major Gift support.
  • Build and manage strategies and create written resources to expand Planned Giving efforts with current and prospect donors.
  • Create and manage annual and multi-year fundraising objectives for Major Gifts and Planned Giving (e.g. setting financial goals and benchmarks, and tracking reports).
  • Lead day-to-day operations of Major Gift and Serenade Society programs and events.
  • Coordinates with Manager, Major Gift & Individual Giving and Portfolio Managers to manage Major Gift donor solicitation letter process.
  • Works with Coordinator, Major Gifts & Young Patrons Circle to lead the acknowledgement letter process in a timely manner.
  • Serves as the primary contact with current Serenade Society members and prospect Planned Giving donors in coordination with Portfolio Managers and outside consultants.
  • Works with Senior Manager, Major Gifts to coordinate annual patron-subscription renewal/upgrade process and manage patron ticket holds for select performances.
  • Manages special projects as assigned by the Director, Major Gifts & Individual Giving and Senior Director, Development.

Manages and support major gifts and individual giving teams to achieve annual fundraising objectives.

  • Manages a portfolio of 100 to 125 Major Gift and Patrons donors and prospects, serving as their primary liaison to the Company.
  • Leads a portfolio of current Serenade Society members and Planned Giving donors, and establish and maintain relationships with representatives and beneficiaries of various estates.
  • Works with Director, Major Gifts & Individual Giving and Planned Giving consultants to develop a marketing plan to cultivate and steward new and ongoing relationships with Serenade Society members and Planned Giving prospects.
  • Oversee the Major Gifts team’s usage of Tessitura; including creating donor and prospect plans, pulling reports, managing donor memberships and records, and other related tasks.

Oversee major gift and planned giving communications and events to deepen relationships with donors.

  • Coordinates with Manager, Major Gifts & Individual Giving to draft and edit Major Gift donor correspondence; including renewal and acknowledgment letters, donor bulletins and announcements, stewardship materials, and event related materials.
  • Works with Senior Manager, Major Gifts to manage all Major Gift and Planned Giving donor events; including studio rehearsals, in-home events, cultivation/stewardship receptions.
  • Coordinates with consultants to manage the Serenade Society’s events and communications, New York City Ballet’s planned giving webpage, and donor materials as needed.
  • Works with the Coordinator, Major Gifts and Young Patrons Circle to create and send all YPC communications; including drafting and sending solicitation and acknowledgement letters, event invitations, and member bulletins.
  • Oversees the Coordinator, Major Gifts & Young Patrons Circle with managing relationships with YPC Steering Committee members and forming strategic partnerships with fellow cultural organizations and other young patron groups.
  • Serves as main contact with Marketing, Press, and Education departments for all Major Gifts and Planned Giving needs.

Minimum Requirements

  • Self-motivated, results oriented, and goal focused
  • 5 to 7 years of experience with major gifts and/or planned giving fundraising
  • Committed to and enthusiastic about the mission, programs and services of NYCB
  • Ability to manage multiple projects independently and meet deadlines with limited oversight
  • Financial accounting and solid customer service skills required
  • Persuasive and strategic communicator with demonstrated interpersonal skills and problem-solving ability
  • Proficiency with standard business applications, such as MS Office
  • Ability to work well in a team environment
  • Experience working with Tessitura or related donor database preferred.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the minimum requirements of this position:

  • Position regularly requires sitting and standing for long periods of time.
  • Position occasionally requires lifting/carrying boxes and equipment for donor events.

Position Type/Expected Hours of Work

This is a full-time position and the hours of work are between 10am – 6pm weekdays. Position requires the ability to participate in donor events and attend performances, including frequent evenings and weekends. Travel may be required as needed.
